IITEDA Conference Policies – Paper Submission & Publication

Section 1: Submission Requirements

1. All papers must be original and should not have been published previously or be under consideration for publication elsewhere before or after the IITEDA conference.

2. All authors and co-authors must inform their respective department head, principal, or research guide about the paper submission to IITEDA.

3. Authors and co-authors must include correct and complete institutional affiliations inside the paper.

4. The organising committee may not accept papers submitted after the official IITEDA registration deadline.

5. The person who submits the paper through the IITEDA submission system serves as the corresponding author for all official communication.

6. All papers must be written in clear, correct English. IITEDA reserves the right to reject papers with language that significantly impairs comprehension.

7. Papers must strictly follow the IITEDA conference paper template (available on the website). Submissions not adhering to the format may be returned for revision before review.

Section 2: Review Process

8. IITEDA accepts papers for its conferences only after they have been peer-reviewed by at least three independent reviewers.

9. IITEDA uses plagiarism detection software (e.g., Turnitin, iThenticate) on all submitted papers. Papers with a similarity index above 20% (excluding references) will be rejected outright.

10. Authors must disclose any use of AI-generated content (e.g., ChatGPT, Grammarly) in the writing or editing of the paper. AI tools cannot be listed as co-authors.

11. Authors must disclose any potential conflicts of interest with the Technical Program Committee members or reviewers. IITEDA reserves the right to reassign reviewers to avoid any actual or perceived bias.

Section 3: Authorship & Modifications

12. No modifications, additions, or deletions of author names will be made after paper registration without explicit, signed consent from all listed authors.

13. If a verified complaint regarding the originality of a paper is found to be true, the paper will be immediately suspended from publication in IITEDA proceedings.

14. IITEDA will not republish, redistribute, or publicly host any suspended paper under any circumstances.

15. IITEDA adheres to the Committee on Publication Ethics (COPE) guidelines. Any suspected misconduct (data fabrication, duplicate submission, or inappropriate authorship) will be investigated.

16. If misconduct is confirmed, IITEDA will issue a formal retraction notice and ban all involved authors from future IITEDA conferences for three years.

Section 4: Registration & Payment

17. IITEDA will only publish registered papers (papers for which registration fees have been completed).

18. At least one author of an accepted paper must register for the conference and present the paper in person (or virtually, if a hybrid option is offered).

If an accepted paper is not presented at the conference, it will not be published in the IITEDA proceedings.

20. Registration fees are non-transferable to another person or another IITEDA conference edition.

21. Papers with completed reviews but unpaid registration fees by the final deadline will be dropped from the programme and proceedings.

22. Late registration (if allowed) will incur an additional fee, to be announced on the website.

Section 5: Withdrawal & Refunds

23. Authors may request to withdraw their paper within 14 days of submission for a full refund of any fees paid.

24. Withdrawals requested after the peer-review process has begun (typically 5 days after submission) will not receive a refund.

25. Papers withdrawn after acceptance will be permanently removed from the publication queue.

26. Refunds (partial or full) are only granted in cases explicitly stated in these guidelines (e.g., visa cancellation before the deadline and paper withdrawal within 14 days).

27. No refunds will be issued for no-shows at the conference.

Section 6: Privacy & Data

28. IITEDA does not publish the personal email addresses of authors or co-authors publicly on the conference website.

29. Personal information collected during submission (names, emails, affiliations) will only be used for IITEDA conference operations (review, scheduling, publication, and certification).

30. IITEDA will not sell or share author data with third parties for marketing purposes.

Section 7: Copyright & Publication

31. By submitting a paper, authors grant IITEDA the right to publish the paper in conference proceedings (print and/or digital).

32. Authors retain copyright of their work unless a separate copyright transfer agreement is signed.

33. All published papers will be assigned a Digital Object Identifier (DOI) for permanent citation.

Section 8: Visa & Travel

34. IITEDA is not responsible for visa-related matters. Obtaining the necessary visa to attend the conference is the sole responsibility of the participant.

35. In the event of visa cancellation, conference registration fees may be refunded only if requested before the final registration deadline published by IITEDA.

36. IITEDA does not guarantee the issuance of any visa to participants. Visa approval is solely at the discretion of the relevant embassy or consulate.
